Getting vendors on board to give away free promotional items to attendees at special events can be difficult. The nature of the vendor's business may prevent them from being able to give away free product samples and some vendors are loath to give away product at an event. Coordinators might make it easier to get vendors to sign on the dotted line in support of an event by contracting with a company that produces a variety of promotional items.
When bought in bulk, promotional items are very inexpensive little "gimme" gifts for attendees at events. Items usually range in price from a few cents to a few dollars each. Visitors usually assign more value to these small items than they would business cards or informational pamphlets and so are more likely to hang onto them after the event is over. When these items are printed with the company's name, website address, physical address and phone number, visitors have all of the information they need to contact the company when they are ready to purchase one of the products or services they offer. If the items are not event specific, companies can continue to give away excess at other events in the future.
There are hundreds of small promotional items that vendors might want to contribute to an event. Large gift bags are great items that visitors will probably use to hold other swag they receive from vendors at an event. Pencils and pens are classic swag items that virtually everyone will hang onto. Pocket calendars, checkbook covers and other small items are great gift ideas for banks, investment firms and insurance companies. Event coordinators should partner with companies that manufacture a large variety of these promotional items.
One of the best ways to have vendors distribute their promotional items is to allow them to set up a booth at the event. From this booth, vendors can educate customers on the products and services they offer, sell a limited amount of product to interested customers and sweeten the relationship with the customer by giving them their promotional gift item directly. Some event coordinators prepare gift bags which are distributed to every attendee as they enter or leave an event. This is a great way to incorporate gift items with product information, coupons and advertisements that vendors may also want in the hands of every single attendee. Others toss vendor swag into the crowd after a speech.
